Decision guide
Chatbot or AI assistant? Choose around the task.
In this guide
Start with what your customer needs to accomplish: find an answer, leave their details or complete a process with several steps. A useful solution makes that journey easier. Sometimes clearer website copy or an existing booking link is enough. Other tasks may benefit from a chatbot using business information or an assistant with appropriately configured connections.
When a simpler solution is enough
If visitors repeatedly look for the same information, first make it easy to find. Hidden opening hours or an unclear service description do not automatically justify a new system.
A clear contact form may be sufficient when you only need a name, contact details and a short message. Someone who already knows what appointment they want may prefer direct access to your existing booking page.
AI may be useful when conversation itself helps: customers phrase questions differently, ask follow-up questions or need help choosing the next step.
Answers, information capture or actions?
Suppliers use “chatbot” and “AI assistant” in different ways. A chatbot can already use AI, and a suitably configured system can perform actions. The label alone does not establish what a solution will do in your business.
| Task | What it needs | What to clarify |
|---|---|---|
| Answer a repeated question | Current business information | What happens if the answer is missing or contradictory? |
| Collect an enquiry | Defined fields and a recording destination | Which details are necessary, and who handles them next? |
| Manage several conversational steps | A defined process and clear boundaries | When is clarification or a human decision needed? |
| Perform a booking-related action | An appropriate connection and permission | Is this a request or an already confirmed appointment? |
At Noxtech, Automated Chat focuses on website questions using business content and basic enquiry capture. AI Assistant supports multi-step conversations and tasks that depend on configured integrations. The actual behavior needs to be defined around the specific workflow.
Four questions before you choose
- What situation brings the customer to you? Collect a few genuine questions without personal information.
- Where is the correct information? On your website, in a price list, in a process description or in another system?
- What counts as completion? An answer, a forwarded enquiry and a created appointment are different outcomes.
- What should happen when the system is uncertain? Establish its permissions and when another contact route or a human decision is needed.
Short answers to these questions are more useful than an unqualified list of features.
What to ask for in a demonstration
Look beyond the easiest question. Ask to see missing information, an incorrectly supplied detail and a request outside the agreed scope.
If the demonstration promises an action, check the result. A message saying “appointment recorded” does not by itself establish what happened in the booking system. A useful demonstration makes limitations visible as well.
You do not need to change every process at once. Select one repeated situation, identify its information needs and define the expected outcome. Then evaluate the solution against that scope.
Let's identify the right scope for your workflow.
